At Academic Resource Centre (ARC), we are committed to providing high-quality educational services. We understand that circumstances may arise where a student needs to withdraw from a course. This policy outlines the terms and conditions for refunds and cancellations.

By enrolling in any course offered by ARC, you agree to abide by this Refund and Cancellation Policy. Please read it carefully before making a purchase.

1. General Policy

  • All refund requests must be submitted in writing via email to admin@arcsedu.in.
  • Refund requests will be processed based on the date of receipt of the written request.
  • All refunds will be processed and credited to the original payment method used during enrollment within [e.g., 1-5] business days of approval.
  • ARC reserves the right to modify or amend this policy at any time without prior notice. Any changes will be effective immediately upon posting on our website.

2. Eligibility for Refund

Refund eligibility depends on the type of course, the time of cancellation, and the extent of course access/usage.

A. Online/Digital Courses (Self-Paced or Live Online)

  • Within [e.g., 7] days of purchase AND before accessing [e.g., 10% / Module 1 / first live session]:
    • A full refund, minus any non-refundable charges (as detailed in Section 3), may be issued.
    • "Accessing" includes, but is not limited to, logging into the learning platform, downloading course materials, or attending any live sessions (even partial attendance).
  • After [e.g., 7] days of purchase OR after accessing [e.g., 10% / Module 1 / first live session]:
    • No refunds will be provided. This is because once significant access to digital content or initial live instruction is granted, the service is considered to have commenced and intellectual property has been delivered.
  • Technical Issues: If you are unable to access the subscribed content or services due to a proven technical issue on ARC's part, which cannot be resolved within a reasonable timeframe, a full or partial refund may be considered on a case-by-case basis, depending on the duration and severity of the issue. Such issues must be reported immediately to our technical support.
  • Course Discontinuation by ARC: In the rare event that ARC discontinues a course before its scheduled completion, affected students will be offered a prorated refund for the unutilized portion of the course or an alternative course of equivalent value, at their discretion.

B. Classroom/Offline Courses (If applicable)

  • Cancellation [e.g., 15] days or more before the official course commencement date:
    • A full refund, minus any non-refundable charges (as detailed in Section 3), may be issued.
  • Cancellation between [e.g., 7] and [e.g., 14] days before the official course commencement date:
    • A partial refund of [e.g., 75]% of the course fee, minus any non-refundable charges, may be issued.
  • Cancellation less than [e.g., 7] days before the official course commencement date OR after the course has commenced:
    • No refunds will be provided. Once the course has commenced or a seat has been reserved shortly before commencement, ARC incurs significant operational costs.
  • Non-attendance: Non-attendance or withdrawal after the course commencement date, for any reason including personal issues, health problems, or scheduling conflicts, does not qualify for a refund.

3. Non-Refundable Charges & Deductions

The following charges are typically non-refundable and will be deducted from any eligible refund amount:

  • Registration Fees / Admission Fees: Any specific non-refundable registration or admission fees explicitly stated at the time of enrollment.
  • Payment Gateway Charges: Transaction processing fees charged by banks or payment gateways (typically [e.g., 2-3]% of the transaction amount + GST).
  • Administrative Fees: A fixed administrative fee of [e.g., ₹500 - ₹1000] may be deducted for processing the cancellation and refund, irrespective of the course fee.
  • Material Costs: Costs of any physical study materials, books, or kits already dispatched or accessed digitally (if applicable).
  • Services Already Rendered: For partially completed services, the value of the services already provided (e.g., modules completed, live sessions attended, assignments graded) will be calculated and deducted from the refund amount.

4. How to Request a Refund

  • Transaction ID/Payment Receipt Number:
  • Reason for Refund Request:
  • Bank Account Details for Refund (Account Holder Name, Account Number, IFSC Code) - Note: Refund will ideally go back to original payment source, but sometimes bank transfer is needed for partial refunds or specific cases. Consult your payment gateway for best practices.

Upon receipt of your request, ARC will acknowledge it within [e.g., 2-3] business days and initiate the review process.

5. Transfer of Enrollment

In certain exceptional circumstances, and at the sole discretion of ARC, a student may be permitted to transfer their enrollment to another equivalent course or to another individual. Such requests must be made in writing and are subject to an administrative transfer fee and any difference in course fees. Transfers are not guaranteed and are subject to availability and ARC's approval.

6. Important Considerations (Indian Context)

  • Consumer Protection Act, 2019: While educational institutions often have specific exemptions or interpretations under this act for direct educational services, it is always advisable to maintain clear and fair policies to avoid disputes. Unfair trade practices (e.g., misleading information, failure to deliver promised services) can still lead to consumer complaints.
  • Digital Personal Data Protection Act, 2023: Ensure that any personal data collected during the refund process is handled in compliance with this act, particularly regarding data minimization, purpose limitation, and secure storage/deletion.
  • Dispute Resolution: In case of any dispute regarding refunds, the matter will be subject to the exclusive jurisdiction of the courts in Tiruppur, Tamil Nadu.
